Description

More than five million children die every year and more than half the world’s population lives without access to essential health care. To take on these enormous injustices, Muso is growing rapidly. We are working to raise $70M over the next three years to care for up to one million patients across two to three countries and improve care for tens of millions of people through changes in global policy and practice.


We seek a Development Operations Coordinator to build, manage, and optimize systems to support our growing development and communications team and partnerships. This role leads development operations, including day-to-day team administration. This person also brings a critical process improvement orientation to our team, working to identify any gaps in how the development team collaborates to engage its portfolios of current and prospective funding partners, and to introduce creative solutions, in partnership with a consultant for technical support if needed. Finally, this role stewards the development and communication team’s intra- and inter-departmental collaboration, with the oversight of the department leader, Muso’s Chief Partnerships Officer. The Development Operations Coordinator provides an important anchor to our development and communications team as it and our partnerships continue to grow in the coming years, embedding exceptional administration, reliable service, and strategic systems capacity as a foundation for our partnerships.

Responsibilities

1. Development Team Administration:

  • Provide day-to-day administrative support to the development department.

  • Act as Salesforce CRM database administrator for all users, resolving technical issues and providing quality control.

  • Provide day-to-day support to the development department on Salesforce and related tools, fulfill data requests, and create customized reporting and dashboards.

  • Manage and create database policies, procedures, and standards.

  • Train and support new departmental hires on Salesforce and other team systems.

  • Support the management of development data in Salesforce, ensuring it accurately reflects and actively supports our team’s ongoing cultivation and stewardship activities and progress against fundraising goals.

  • Provide project management support to the development department to ensure maintenance and use of filing systems and information repositories supporting partner engagement.

  • Administer online accounts utilized by the development team, including online donation platforms.

  • Review and process all incoming grant agreements.

  • Conduct timely gift acknowledgment and processing for all development team portfolios.



2. Development Systems Management:

  • Maintain current knowledge of development team system features, functionality, and enhancements.

  • Manage and optimize development operations, including maintaining all existing systems, and providing ongoing training to improve team use of these systems.

  • Monitor team system needs, proactively identify opportunities for process improvements, and lead timely implementation of solutions and team training on new functionalities.

  • Liaise with consultants and third-party providers on team systems, including technical CRM updates, as needed.

  • Manage and strengthen systems to ensure compliance with internal controls and grant terms and conditions.



3. Team Collaboration:

  • Support development and communications team engagement with other departments, such as research, monitoring & evaluation, program, and learning and innovation.

  • Support shared development-finance team grants management processes, including coordinating with finance staff on monthly financial close, restricted grant tracking systems, and revenue and cash flow projections.

  • Collaborate with portfolio managers, departmental leadership, and staff in Mali and Côte d’Ivoire to plan and execute events as needed, including in-person events, partner calls and meetings, donor site visits, and conference participation.

  • Support intradepartmental team culture by fostering collaboration and learning under the oversight of the Chief Partnerships Officer, including coordinating activities, logistics, and materials for development and communications team meetings and retreats.

  • Provide support to other development and communications team projects as needed, including preparing materials to support funder engagement.

Required Skills and Experiences

  • Commitment to social justice and global health equity.

  • Demonstrated experience in office administration, operations, business development/fundraising, or similar.

  • Systems thinking: excited by identifying suboptimal or lacking systems and introducing solutions.

  • Strong sense of ownership of work and outcomes.

  • Excellent organization and time management skills, with experience managing multiple projects simultaneously and producing high-quality work under deadline. Comfortable with switching between time-sensitive, day-to-day tasks and long-term projects as priorities require.

  • Flexibility and ability to adapt to changing circumstances.

  • Ability to proactively anticipate needs, respond quickly to support requests coming from multiple directions, and identify creative solutions to challenges.

  • Exemplary attention to detail.

  • Ability to work independently, as well as collaboratively across departments, cultures, and time zones.

  • Strong interpersonal and verbal communication skills.

  • English language fluency.

Preferred skills

  • Proven systems management experience, such as (but not limited to) familiarity with Salesforce CRM, preferably in a management/administration capacity.

  • French language proficiency.

  • Familiarity with working in a nonprofit context.

  • Experience with grants management and compliance.

  • Experience leading or supporting team training and ongoing learning.

  • Event management experience.

  • Understanding of and experience working with global health, international development, or social justice issues.

  • Experience working in West Africa.

Benefits

Compensation will be $76,000 per year. Health insurance, basic life and AD&D insurance, and a 401(k) plan with an employer match up to 4% of compensation will be included. This position will receive up to 20 days of vacation annually and one sick day per month based on date of hire, as well as major U.S. holidays. This role will also receive support for professional development opportunities.


This role requires some dedicated in-person time at Muso’s office in San Francisco, CA. Proof of full COVID-19 vaccination, including booster, is required. As the COVID-19 pandemic is dynamic, we re-evaluate open office status on an ongoing basis to ensure that our safety criteria for in-person work continue to be met.
