Description
Muso’s Human Resources Department is organized into two major areas:
HR Generalists who aim to provide a country focus and support all questions related to people management, implementation of the HR Agenda & support/coach team managers.
Center of Expertise divided into two (2) different sections: (i) Talent Management & (ii) HR Operations, including compensation and benefits.
The position of HR Coordinator is a generalist position who will mainly support the HR Agenda of the USA office with a clear focus on administration, compensation & benefit and compliance. On top of that, the position will support Muso’s CEO with Executive Assistant activities including supporting the CEO’s administrative tasks, organizing the missions & travel, and preparing CEO documents for meetings.
In summary, the position is expected to fulfill the following expectations:
Ensure full compliance and standardization of all the HR Policies & processes applied in USA’s office;
Implement and operate full HR Agenda focusing on USA’s office
Serve as CEO’s Executive Assistant.
Responsibilities
The HR Coordinator’s responsibilities include, but are not limited to:
1. HR Administration supporting US office:
Support administration of contracts of full-time expatriate independent contractors (contract renewals, amendments, etc.)
Support administration of benefits for USA staff;
Support administration of Muso’s professional employer organization (PEO);
Track paid time off and remaining available (accrued but unused PTO), subject to carryover limits;
Support the buildout of a consolidated portal for all employees to access policies and holidays, etc. by country/location;
Other administrative duties or special projects as requested.
Manage Bay Area office space, including liaison with landlord and maintenance of office keys/codes.
Procurement and maintenance of office equipment and supplies.
Manage procurement, shipping, and logistics for commodities being ordered and shipped or carried from the United States to Mali or Côte d’Ivoire.
General IT support including laptop setup, software installation, and general IT troubleshooting.
Coordinate and support USA / Bay Area team meetings, including taking minutes and following up with participants on action items.
Support logistics for meetings.
Coordinate and maintain master calendar for the US office.
Monitor and track documents, projects, and tasks.
2. Compensation & Benefits:
Support standardization and maintenance of salary grid/grades across the organization;
Support development of increased consistency of benefits across subsidiaries (including vacation time, sick time, maximum hours accrued and eligibility for carryover each year, health insurance, retirement plans, etc.);
Support salary survey including submitting, monitoring, and analyzing data from USA staff and full-time expatriate independent contractors.
3. HR Agenda:
Support the timely implementation and operation of HR’s objectives and ongoing agenda;
Support employee talent activities with a clear focus on support for recruitment, training, development, and team/morale-building;
4. Executive Assistance to CEO:
Organize, coordinate, and ensure proper follow-up of the CEO's agenda according to the CEO’s directives;
Provide scheduling support for CEO’s meetings and calendar;&
Support travel agenda by booking, managing flights & lodging
Support the CEO in the formulation and preparation of special projects and the monitoring of the associated activities and deliverables
Required Skills and Experiences
At least three (3) year of professional experience in HR Admin, Compensation & Benefit or Generalist position;
Bachelor’s degree in HR Management or other related field or equivalent required.
Technical Skills & Experience:
Demonstrated experience with Compensation & Benefits tools and practices;
HR Administration in multiple countries & in multicultural environment;
Excellent project management, strategic planning and budget management skills;
Good knowledges in facilities management;
Management Skills & Experience:
Excellent communication skills;
Influencing others to make things happened;
Ability to work independently
Ability to communicate and coordinate effectively across time-zones, cultures, and languages
Core skills:
Demonstrated capacity to build public sector partnerships
Ability to manage multiple projects simultaneously in a deadline-driven environment and to meet deadlines while maintaining quality of deliverables;
Flexibility and ability to adapt in a rapidly growing team and organization
Other Key Qualities:
Committed to social justice;
IT Literacy with high score in MS Excel;
Fluency in French & English required;
